Let’s break down the terminology: ePUAP, Profil Zaufany, PKE
These concepts appeared within the framework of the digitalization of Polish document circulation to simplify bureaucratic procedures.
Currently, in Poland, there are the following ways to confirm your identity:
- ePUAP — is an electronic platform for government services (Elektroniczna Platforma Usług Administracji Publicznej). One of its services is issuing a trusted profile, which is Profil Zaufany.
- Qualified electronic signature — the equivalent of KCP or PKE (Podpis kwalifikowany elektroniczny).
Important point: ePUAP is a platform for government services, while the trusted profile (Profil Zaufany) is a method of confirming identity. When registering on the ePUAP platform, you immediately receive a regular profile. It becomes trusted only after confirmation.
What services become available to individuals?
In the Civil Registry Office (USC), tax office, Social Insurance Fund (ZUS), or local administration (gmina or city office), the electronic identity identifier can be required in various life situations:

Report the loss of documents;

Fill out applications for social benefits;

Inform government bodies about the sale of a car and de-register the vehicle;

Request copies of documents related to marriage, divorce, or birth;

Check the number of penalty points on your driver’s license;

The electronic identifier enables individuals to not only request services from government authorities but also track the status of their applications.
Necessity for business owners
Just like individuals, legal entities can access services such as obtaining a certificate of no criminal record or social benefits.
Additionally, with the electronic identifier, it is easy to:
- Submit accounting reports.
- Open a company.
- Create and submit work invitations for foreigners, etc.
Each member of the board of an association or fund (as an individual) must have a personal trusted profile.
The organization’s profile can be set by one member of the board, depending on the agreement between the board members. Ideally, this should be the person who has the authority to represent the organization, although this is not a mandatory condition.
How to create an account on ePUAP?
Let’s look at how to take the first step on the ePUAP platform, which is creating an account, i.e., a regular profile, not a trusted one. Prepare your identification document, a valid email address, and a phone number.
Registration algorithm:
- Go to epuap.gov.pl
- Agree to the privacy policy and select “Przejdż do ePUAP” (go to the platform).
- Click “Zarejestruj się” (register), and a small form with mandatory fields will appear: first name, last name, PESEL number. Then, enter a username, password, add a valid email address, phone number, check the box agreeing to the privacy policy, and enter the CAPTCHA.
