A legal address of a company in Poland is the actual address of the business, required for its registration and conducting economic activities. In various company documents, you may come across the term “adres siedziby.” It is used in the company’s details, invoices, contracts, and other official documents.

    Be careful! Renting a legal address does not equal receiving correspondence, so if you are looking for such an address, you will need a virtual office in Poland.

    This procedure is fully legal. The Republic of Poland is a highly bureaucratic country, so to the address where your spółka is registered, letters will arrive from the tax office, courts, local authorities, clients, contractors, and so on.

The average price for renting a legal address/virtual office is 100 PLN per month net or 125 PLN gross.

Can a company be registered at a rented residential address?

Theoretically and technically, yes. A company can be registered at a rented space with the agreement of the landlord and by including this clause in the lease. However, it usually doesn’t make economic sense because the landlord can change the conditions, and you might have to move. A virtual legal address is static and costs only 100 PLN/month.

It’s best to have a legal address in the city where the business is conducted, because it’s tied to the tax office. For example, if you live in Wrocław, but your legal address is registered in Warsaw, this can be inconvenient because it implies visits to the tax office, Social Insurance Fund, and other government institutions. Therefore, it’s more beneficial to have the legal address in the same city as the business.

It’s also important to note that in smaller cities, communication with government agencies is easier.

You cannot open a company in Poland without a legal address. It must already be in place at the time of registration.

What if you need a legal address for a company but don’t have one yet—how do you sign the contract? If we or someone else helps with this issue, there are usually arrangements in place, and everything can be done simultaneously: register the address and sign the contract.

Can a company be opened in Warsaw while being in another city or country?

Yes, it is legal. It doesn’t matter where the owner or the assisting company is physically located. What matters is the location where you want to conduct business.

Yes, you can change it at any time. The cost of the procedure is 300 PLN to pay the state fee for changes in the register. If you want to delegate this task to others who can assist, an additional 200-300 EUR for the service is required.

Yes, it can. You don’t need to have one location for the store, another for the warehouse, and a third for the office. If it’s convenient logistically, everything can be placed at one address.

Because companies specializing in legal addresses lease premises in bulk. They typically also provide accounting and office services. They sublease parts of the space. Importantly, they also handle incoming mail, scan, and send court documents and correspondence from contractors to you.

A virtual legal address in Poland is an official, legal practice. There are no fictitious addresses or abandoned buildings where non-existent companies with dubious beneficiaries are registered. This is not how things work in Poland. A proper legal address exists where inspections can visit, and the company providing the legal address will confirm the registration.

The potential risks include:

  • Poor history of the legal address, which may complicate, for example, the issuance of a VAT number. If there are many companies at the address, some with a bad history, it may raise doubts with tax authorities and halt the process of issuing the number. But there are ways to check the address in advance to ensure everything is in order.
  • Delayed processing of correspondence and late notifications. To avoid issues with delays, it’s recommended to specify conditions and timeframes in the contract.
  • One more point: the legal address is tied not only to the tax office but also to the Urząd Pracy (Labor Office)—a government agency dealing with employees and work permits. In some cities and with certain addresses, it’s difficult to get work permits for employees, and some entrepreneurs need to change their legal address, even to a different city, to simplify and speed up the process of obtaining documents.
