Who it’s for

What people usually come to us with

An office that is great for a freelancer on ryczałt may struggle with a Sp. z o.o. that has staff. So we start with who you are.

JDG

Freelancer or B2B contractor

One or two clients, ryczałt or flat 19% tax, invoices to foreign clients. You need clean monthly books and a clear answer on what to pay.

Sp. z o.o.

Limited company

Full accounting (księgi rachunkowe), CIT, annual financial statements filed with the KRS, dividends and board pay.

New

Just registered

You need to pick a tax form in time, sort out VAT and KSeF, and start sending documents to your accountant from month one. No company yet? Start with opening a company in Poland.

Switching

Unhappy with your accountant

Weeks without replies, letters from the urząd skarbowy (tax office), no idea whether your taxes are right. You need a review and a clean handover.

Industries

Businesses we have seen from the inside

Every industry has its own accounting quirks — better to know them before your first report.

☕Hospitality, beauty and health

📦E-commerce

Hundreds of small sales, marketplaces, sales to buyers in other EU countries under the VAT OSS scheme.

Own online store, Allegro, Amazon, own production

🚢Export and import

Intra-EU and non-EU trade, VAT-UE returns, customs documents in the books.

Car parts, equipment, pet food, chemicals, restaurant supplies

💻IT and software houses

B2B contracts, 12% ryczałt, work with foreign clients and subcontractors.

Development, apps, platforms, web studios

🛠Services and construction

Subcontractors, the split payment mechanism (MPP) for some services, staff on different contract types.

Renovation and building, interior design, cleaning, installation

Who is behind this

We know who to trust with your books

Uniconsulting Group is a consulting company based in Kraków, operating since 2015. It is run by Stanislav Tsys, who has been running his own business in Poland for 12 years and has twice obtained residence on the basis of business himself.

The books are kept by accounting offices we have worked with for years. We own the start: we review your case, hand your company to the right office and put the working rules in writing.

We once worked with a Polish accounting office that ended up in court: we paid taxes based on its wrong calculations. So what matters to us is not the cheapest office, but who it already serves and how fast it answers.

What’s included

What accounting services in Poland include

Accounting services in Poland cover bookkeeping (KPiR, ewidencja przychodów or full księgi rachunkowe), ZUS, PIT or CIT advances and VAT, JPK_V7 and annual returns, plus payroll. Your accountant works from the documents you send, so we split the duties before any contract.

AYour accountant does

  • Keeps the books: KPiR, ewidencja przychodów for ryczałt, or full księgi rachunkowe
  • Calculates ZUS, PIT or CIT advances and VAT, and sends you the amounts due
  • Files JPK_V7 and annual returns: PIT-36, PIT-36L, PIT-28 or CIT-8
  • Prepares the annual financial statements of a Sp. z o.o.
  • HR and payroll: contracts, employee ZUS, A1 certificates for postings abroad
  • Replies to the tax office and ZUS under a power of attorney

YYou do

  • Send the month’s documents by the agreed date
  • Issue invoices in KSeF or give your accountant access to it
  • Report new contracts, staff, cars and major purchases
  • Pay taxes and contributions based on the amounts you receive

UWe do

  • Look at your case: legal form, document volume, staff, language
  • Hand your company to an office that already serves businesses like yours
  • Put the working rules in writing before the contract
  • If your books are already running, arrange a review before the handover

Why not DIY

The most common accounting mistakes in Poland

Choosing an accountant on monthly price

The cheapest offices usually do the bare minimum. We looked at what a Polish accountant actually does in our article on accounting service quality.

What to do: compare offices on scope of work and response time, not price alone.

Missing the tax-form deadline

A new JDG picks its tax form at registration or by the 20th of the month after its first income. Miss it and you stay on the progressive tax scale until the end of the year. The options are covered in our guide to forms of taxation.

What to do: run the numbers with an accountant before your first invoice.

Assuming the accountant is liable for your taxes

You, the business owner, answer to the tax office and ZUS for your returns; the office answers to you under the contract. An office that keeps full accounting must carry liability insurance (OC) under Art. 76h of the Accounting Act.

What to do: state in the contract who pays for errors, and ask to see the OC policy.

Invoicing the old way

Since 1 April 2026 invoices are issued through KSeF; businesses whose invoiced sales stay within 10,000 zł a month have until 1 January 2027. The basics of a Polish invoice are in our article on VAT invoices.

What to do: agree with your accountant who issues invoices and who holds KSeF access.

FAQ

Accounting in Poland: common questions

What are a Polish company’s monthly deadlines?
  • by the 20thZUS contributions for the previous month — JDG
  • by the 20thPIT or CIT advance for the previous month
  • by the 25thJPK_V7 and VAT — for VAT payers
  • alwaysinvoices via KSeF — mandatory since 1 April 2026
  • 30 Aprilannual PIT return: PIT-36, PIT-36L or PIT-28

Weekend deadlines move to the next working day. Sources: zus.pl, podatki.gov.pl and ksef.podatki.gov.pl as of 28 September 2026. Your accountant tracks these dates; you receive the amounts to pay.

Can I do the accounting for my JDG myself?

Yes, the law allows it: on ryczałt you keep an ewidencja przychodów (revenue record), on the tax scale or flat tax a KPiR (revenue and expense ledger). It gets harder once VAT, staff or foreign clients come in.

Does a Sp. z o.o. need full accounting?

Yes. A Sp. z o.o. always keeps księgi rachunkowe (full books), whatever its turnover. Annual financial statements must be prepared within 3 months of the year end, approved within 6 months and filed with the KRS within 15 days of approval.

Can I get an English-speaking accountant?

Yes — you always get an accountant who speaks English. Documents and filings for the tax office and ZUS are always in Polish.

Do you only work in Kraków, or Warsaw too?

Accounting here is fully electronic, so we work with businesses across Poland — Warsaw, Kraków, Wrocław and elsewhere.

Which documents do I send, and can it all be done online?

Yes, everything is online. Each month your accountant needs sales and cost invoices (most are already in KSeF), company bank statements, new contracts, and details of staff and business purchases. The exact list and deadline are agreed before the contract.

Who pays the penalty if the accountant makes a mistake?

The business owner is liable to the tax office and ZUS, so any back tax and interest land on your company. The office is liable to you under the contract, and offices keeping full books must carry OC insurance — so agree liability for errors in writing up front.

Do Polish accountants need a licence?

Bookkeeping services in Poland have not required a state certificate since 2014. What does matter: an office keeping full accounting must hold OC liability insurance, and statutory audits are done only by a registered auditor (biegły rewident).

Can I order a one-off service without ongoing bookkeeping?

Yes — for example, an annual PIT return or a review of your company’s books. Mention it in your request.

How do I switch accountants mid-year?

Ideally from the start of a month: the old office hands over the books, the new one files its UPL-1 and PEL authorisations. Review the last few months first.

How much do accounting services cost?

The price depends on your legal form, monthly document volume, VAT status and staff. It is quoted after your case is reviewed — so the request comes first, then an offer with a price.
